Surgical inventory that tells you the truth

Lot and expiration tracking, preference cards, real cost per case and purchasing — built for ambulatory surgery centres. One flat price per facility, every user included.

The problem

Four things go wrong in every surgery centre store room

They are all the same problem: the record and the shelf drift apart, and nobody notices until it matters.

Expired stock reaches the field

Expiry lives on a sticker, in a binder, or in a spreadsheet somebody updates on Fridays. Nobody finds out it lapsed until the packaging is already open.

Nobody can answer a recall

A vendor issues a field-safety notice for one lot. Answering which patients received it means pulling paper charts, one at a time, while the clock runs.

The count is never right

The system says nine, the shelf has four. So people stop trusting the system, start keeping their own list, and the gap widens.

Case cost is a guess

You know what you bought and roughly what you used. Turning that into a defensible cost per procedure takes a week and an analyst.

What you get

Built around the lot, not the spreadsheet

Every quantity in Surgi-Sys is derived from a single ledger of movements. That one decision is what makes the rest of it trustworthy.

Lot and expiry on every item

Stock is tracked per lot with its expiration date. The dashboard opens on what has expired and what expires next, so it leaves the shelf before it reaches a patient.

A recall answered in one query

One report lists every case that used a lot, with the chart number. The lot is recorded on the case at the moment of use, so depleting or repricing it later cannot erase the trail.

What a case actually cost

Preference cards pre-load the pick list. Staff record what was opened and what was wasted, and the cost is captured at the time — so a price change next quarter does not restate last quarter.

Purchasing that keeps its arithmetic

One purchase order per vendor, numbered atomically. Partial deliveries are real receipts against the line, so the outstanding quantity is always exactly what has not arrived.

Counts that cannot go wrong

A cycle count states what you physically counted; the adjustment is worked out inside the transaction. Every change writes a ledger entry with who, when and why.

One number, not two

On-hand is derived from the lot records rather than stored separately, so no two screens can disagree about how much you have. There is a report whose entire job is to prove it.

Switching

We move your data, and we tell you what is wrong with it

Most inventory systems import your data quietly and let you discover the problems later.

Our import runs in preview first and reports every value it could not read cleanly — an expiration date in an ambiguous format, a quantity that was never a number, a preference card pointing at an item that no longer exists.

It also lists every item whose recorded on-hand disagreed with its own lot detail. In an older system that is usually a long list, and it is exactly the list you want before you go live rather than after.

Questions we get asked

How long does it take to get running?
Signing up takes a couple of minutes and your workspace is ready immediately. Being genuinely useful takes about a day: add your vendors, load your item master, count what is on the shelf, and build the preference cards for the procedures you run most. We will do the loading for you if you are coming from another system.
Do we need to train everyone?
The screen a circulator uses is one table: tick what was opened, pick the lot, type what was used and what was wasted. Everything else — purchasing, counts, reports — is used by one or two people. Most centres brief clinical staff in ten minutes.
What happens if we stop paying?
The workspace becomes read-only. Nothing is deleted, and you can still sign in, read and print everything, including the traceability reports you would need for a recall. Ask and we will send you a full export, at no charge.
Is our data separated from other customers?
Yes. Each facility is provisioned its own database — not a shared table with a customer column. Your chart numbers and case records are never stored alongside another centre's, and an export or a restore is a single database.
Will you sign a business associate agreement?
Yes, on request. Ask for a BAA here, and see the security page for what we actually do to protect the data.
Can we run it on our own server?
Yes. Surgi-Sys runs on any host with Node and PostgreSQL, and works with billing switched off entirely. Talk to us about a self-hosted licence.
